This role is immediately available and based in our head office in Bath

We have a fantastic opportunity for someone to join our team in a support role. You will be a self starter and will work closely with the Junior Office Assistant, as well as all departments in making sure everyone has what they need to do their job to the best of their ability. 

This is an extremely varied role in a fast paced and busy environment so not for the faint hearted! Time management and prioritisation skills are vital. If you are looking for a new challenge, we’d love to hear from you.

Main Responsibilities

  • Daily checks of office space and all meeting areas
  • Responsible for maintaining all supplies for the office including stationery, refreshments, consumables etc including distribution of items to all floors of the building
  • Management of all visitors and deliveries to the office Some flexibility required for early morning deliveries where needed
  • Management of all office equipment and furniture including water coolers, photocopiers, shredding etc
  • Liaison with property management company and responsible for hiring any additional building contractors such as cleaners, security and tradespeople
  • Responsible (alongside Head of People) for Health & Safety within the office including performing the role of Chief Fire Marshall and First Aider (training will be provided)
  • Responsible for purchase and inventory of all IT equipment and services, liaison with IT providers and support
  • Budget control for all office related purchasing and management of company credit card
  • Maintain the general hygiene and appearance of the office including any COVID related measures
  • Work closely with the Head of People to ensure all legal requirements for management of the office are in place
  • Responsive and accommodating to the needs of the staff acting as first point of call for all office related queries
  • Assist the Head of People with management of recruitment including placing adverts, distribution of CVs and assisting managers in setting up interviews when required
  • Liaison with new employees prior to joining the company, organisation of IT equipment and office location plus a key contact assisting the Head of People and line manager in their onboarding
  • Support and assist the CEO and PA to CEO in any office related activities
  • Some line management of the Junior Office Assistant with both positions reporting to the CEO’s PA

Skills & Experience

  • 1-2 years’ experience in an administrative / office facilities management type role
  • Excellent organisation skills with ability to prioritise own workload
  • Ability to communicate with people at all levels with high levels of confidence and positivity
  • Shows initiative, displays honesty and integrity, and has good resilience
  • Positive can-do attitude within a fast-changing environment
