Job Requirements/Description

Main Job Purpose

To provide administrative support for undergraduate or postgraduate teaching and related activities, from student induction and registration, academic progress through to graduation, working with the Student Administration Manager or Graduate Administration Manager and the rest of the student support team, including academic staff holding key roles.

Standard Responsibilities

  • Create documents/presentations/reports from an outline brief using Microsoft Office 365 packages and other relevant software.
  • Develop administrative systems and spreadsheets to ensure information is available to those who need it.
  • Maintain digital learning materials
  • Gather, input and manipulate routine data so that others can interpret it.
  • Handle confidential and sensitive student information and documentation
  • Deal with face to face and on-line queries from staff and students including more complex queries raising issues of concern where necessary to ensure resolution of problems.
  • Use and understand central databases and information systems to gather and collate data sets e.g. timetabling, constraints, student unit choices, exam results or student extenuating circumstances.
  • Provide appropriate sympathetic guidance and signpost pastoral care available to individual students and refer more complex issues.
  • Administer education processes and procedures and support student recruitment events and other student activities
  • Arrange & service team/departmental meetings through drafting agendas, preparing papers, taking & circulating minutes, identify action points and follow-up actions
  • Liaise with academic colleagues to build effective working relationships.
  • Provide support for organising events and activities
  • Seek solutions to straightforward academic progress problems in relation to student administration, unit choice or student records referring upwards as necessary
