Job overview
To provide comprehensive secretarial/administration support to the Occupational Therapy and Physiotherapy Therapy Children’s Service. Act as an effective link across hospital staff, other departments, GPs and the general public and other relevant bodies.
Main duties of the job
- To provide a comprehensive administration service to support in the day to day running of the service.
- To act as a contact point and liaise with patients, teaching staff, education, social services and other staffing groups within the Trust over the telephone and face to face.
- To maintain and monitor the waiting list at the direction of the Head of Therapies/ Service Manager sending out acknowledgement letters to parents and making initial appointments for joint assessments.
- Ensure all clerical activity is recorded accurately for activity purposes in a timely manner. This will involve using the EMIS IT system for registering and discharging referrals and recording clinical outcomes
- Ordering of stationery/office supplies
- To assist with data collection/data management.
- To undertake any necessary photocopying, filing, emailing and other administrative duties
- To organise interpreting services prior to patient/carers appointments when requested.
- To effectively deal with centralised emails on behalf of the service.
- To understand and maintain a high standard of confidentiality adhering to the Trust Data Protection policy
- To undertake training as and when necessary.
- To work across CCHP sites as required.
- To have a flexible approach and undertake any other duties appropriate to grade and needs of the department/ wider team as agreed between the post holder and the Admin Manager.

Experience
Essential criteria
- Experience of working in the NHS or similar organisation
- Experience within a broad based clerical role
- Good attention to detail and completion of tasks to deadlines
Desirable criteria
- Able to use EMIS system for Child Health (formal training will be given)
- Able to use initiative and judgement in dealing with non routine enquiries and situations
- Understanding of basic medical terminology

- RSA 2 standard or equivalent
