Our client is a global multi-disciplinary consultancy which provides specialist commercial management, planning, and dispute resolution support services. They maintain their standards in supporting their clients from project inception and through to refurbishment, repurposing, and decommissioning.

The Role:

On behalf of our client we are seeking an experienced Executive Assistant. This role is supporting the Global Chief Operating Officer.

The role is to provide proactive, efficient and effective executive support to the Global Chief Operating Officer; through managing their contacts, meetings and e-mail correspondence; supporting travel arrangements and supporting preparations for meetings and presentations. This is a busy and varied role.

Main duties/Key responsibilities

* Providing effective support, meeting the COO's needs, demonstrating awareness and understanding of all current issues.
* Following up actions required by the COO and from others on their behalf
* Building knowledge of key contacts
* Proactively maintaining a good understanding of issues involving the COO and identifying and advising where input is required from others.
* Producing/collating monthly sales forecast reports from information supplied by Directors, ensuring that information is provided in a timely manner.
* Creating monthly COO Board report.
* Organising and managing a complex diary including convening meetings and resolving any diary clashes or conflicting commitments.
* Managing the COO's inbox and assessing the importance and content of emails and taking appropriate action; responding to emails where appropriate, forwarding to colleagues as necessary to action/provide information; extracting key issues from complex correspondence; filtering junk/duplicated; handling some replies directly and preparing others for the COO to approve or handle personally.
* Screening phone calls, enquiries and requests, and handling them when appropriate; meeting and greeting visitors where necessary.
* Organising internal and external meetings: booking rooms/venues, arranging catering, and collating papers.
* Proactively organising and anticipating requirements for national and international travel for the COO. To include: hotel accommodation, flights, preparation of travel itineraries and sourcing/providing information on visa requirements for overseas travel where necessary.
* Producing/collating documents, agendas, and/or briefing papers for meetings, taking minutes at meetings
* Coordinating and/or assembling slide-sets/presentations.
* Building knowledge of key contacts (internal and external) relevant to the COO and ensuring contact details are up to date
* Dealing with IT issues that may arise

You will be required to occasionally work from other offices or locations.

The Person:

For this opportunity our client is seeking someone who has worked at Senior PA / EA level at board level. This role is to provide full support to the COO and therefore a flexible, can-do and efficient person is required. This role a superb opportunity working in a friendly team in Bristol, but with contact with national and global offices. It's essential you have superb Excel ability, have a flexible approach to an ever-changing workload and a great sense of humour and able to build professional working relationships
