Executive Assistant
Bristol

We are looking for an experienced Executive Assistant / Personal Assistant to provide unrivalled support to a busy Entrepreneur and her team, an EA with lots of integrity who can be trusted implicitly. This is a demanding, exciting and challenging role where your skills and initiative will be recognised and well rewarded. It is perfect for a hands-on EA who is resourceful, flexible and pro-active.

This person will be happy to work closely with a long-standing part-time Executive Assistant (who concentrates on charity work and personal matters) who will be there to provide support as required.

The Role:

-Provide a professional, calm and engaging point of contact that represents the entrepreneur in all communication with others
-Provide extensive diary management and PA support for both the Entrepreneur and CEO as required. -Prepare presentations, agendas, collate documents in preparation for meetings, take minutes of meetings, circulate actions and follow up to ensure projects stay on track and deadlines are met.

You will also be responsible for:
-Full itinerary management with a focus on accuracy and meeting changeable deadlines
-Monitor emails
-Manage inbox
-Filing emails
-Keeping only relevant emails in view
-Highlighting critical emails and react in a pre-emptive manner and maintain close working relationship with the organisations the entrepreneur is involved in.

Attention to detail and excellent coordination skills are essential as you will arrange worldwide travel to include research, creating itineraries, checking passports and visa entry requirements for all travellers and request foreign currency.

You will have solid office management experience to ensure the Bristol office runs smoothly (IT, office equipment, ordering stationery, insurance, gas and electricity suppliers) overseeing one member of staff and involvement in recruitment as required.

As Executive Assistant you will:
-Maintain up to date records/copies of passport and driving licenses for family, friends and staff
-Keep track of business expenses
-Plan events such as away days, Christmas parties and conferences
-Conduct ad hoc research
-Screen phone calls
-Check post and delegate appropriately as well as meet and greet visitors at all levels
-Making everyone feel welcome, liaising at all levels, from family through to Board level to external investors and Industry Leaders.

The Person:

At least 5 years previous EA/PA experience operating at a senior level with strong administrative and organisational skills, as well as project management ability. A good track record demonstrating excellent communication and interpersonal skills, together with organisational management.

- Excellent verbal and written communication skills
- High levels of attention to detail
- The ability to anticipate needs of the Entrepreneur and react as appropriate and a willingness to "go the extra mile" whilst demonstrating great initiative, a real self-starter.

As an Executive Assistant you will also:
Be highly presentable, a true problem solver with a willingness to learn, confident, driven and reliable with a 'can-do' attitude and the ability to build loyal, trusting business relationships. You must have high levels of energy, the ability and flexibility to work weekends and travel with the Entrepreneur when needed.
