Immediate start

To organise and coordinate administration duties and office procedures. Your role is to create

and maintain a pleasant and efficient work environment, ensuring high levels of organisational

effectiveness, communication and safety.


To ensure the office is a clean, safe, tidy working environment. Co-ordinating and arranging all

maintenance, repairs and upgrades as necessary, ensuring compliance with the conditions of

the office lease and dilapidation obligations.

Being the first point of contact for and liaising with managing agents, landlords and all other

property-related contacts as appropriate.

To manage the Group's premises including issues of security and management of temporary

and visitor passes.

Ensuring high service standards and contract compliance from facilities contractors / suppliers

e.g. cleaning, security, postage, stationery etc. Manage procurement negotiations with office

suppliers ensuring value for money and scalability of service is considered.

Working with Head of IT to ensure phone system meets the business requirement, and use

complies with the Group's internal policy.

To be the point of contact for company car leasing. Working with the finance team to ensure

policies and procedures are followed and in line with health & safety requirements.

Working in conjunction with HR on the induction process ensuring new joiners receive relevant

training through the planning of the induction training schedule.

To be the H&S Officer for the group, and to ensure that the office complies with the necessary

Health & Safety regulations. This will involve; carrying out staff H&S training; working with HR

and Quality and Compliance to review and update health and safety policies and procedures,

and to ensure compliance.

To undertake the role of Chief Fire Marshall, ensuring fire and evacuation procedures are

followed. Liaising with fire Marshalls and building management as appropriate.

Line Management of Office Administrator. Overseeing: Sorting and distribution (include scanning where appropriate) of all incoming post and DX together with the franking and sorting of all outgoing post and DX.
Monitoring and ordering of office supplies e.g. stationery, consumables, fruit, tea,

coffee etc.

Support to the Executive; arranging meetings and refreshments, travel booking,

reconciliation of expenses.

Archiving of case files with external archiving provider, liaising with case handlers as


Liaising with external scanning provider requesting copies of documents as

appropriate, and managing and improving working relationship.

First point of contact for office machines (e.g. fax machines and printers, franking and

stuffing, etc.)

will be required to work collaboratively to perform any other duties or tasks which are

reasonably assigned to you
