Job Requirements/Description

Hours: Full time - 37.5 hours per week

We are looking for an experienced, enthusiastic and a dedicated individual to provide an effective and efficient secretarial service to each of the Dental specialties. The post holder will have a range of secretarial experience, ideally in a hospital environment, though other administration experience will be considered.

Working in a busy and sometimes demanding role, within a supportive team, you must be a good team player and enjoy working within multidisciplinary teams. The applicant should have good organisational and interpersonal skills and the ability to work well under pressure. As the post deals with patients, relatives and healthcare professionals on the phone, applicants must have excellent communication skills and will be expected to have a courteous and efficient telephone manner. The successful candidate will need to have a good working knowledge of Microsoft Word, Excel and Outlook.

1 X substantive post 37.5 hours per week to work across all Dental Specialties supporting the Senior Medical Secretaries. Part time/ job share will be considered.

Main duties of the job

  • To audio type, edit and proof read clinical letters, general correspondence and reports using the Trust’s Digital Dictation and Speech Recognition System, ensuring that all correspondence is despatched within the Trust’s target turnaround times.
  • Achieve the required standard of proofreading/editing using the Trust’s Digital Dictation and Speech Recognition System, as specified by the Trust.
  • Use the relevant computer systems and Patient Administration System (PAS) to accurately input and retrieve patient information, updating demographics where necessary.
  • To check incoming email inbox(s) on a daily basis to keep up to date with departmental and Trust wide news and information.

This includes having a qualification in word processing or audio typing (or equivalent), educated to GCSE grade C or above (or equivalent) in English Language and Maths, and Business and Administration Level 3 NVQ or equivalent experience.
