Within the University our IT Services department is on an exciting journey. Our vision is to provide globally accessible technical services and digital solutions to empower world class learning and research at the University.

The role holder coordinates the procurement and logistics of IT assets, playing a crucial role in ensuring smooth operations by supporting the purchase, stock management, distribution, and maintenance of IT assets throughout their lifecycle. The role involves managing and processing more complex requests that require a higher degree of assessment, coordination, and planning, including requisitioning of new software and management of mobile contracts and devices. The role holder serves as a point of support for Logistics Administrators, providing advice and guidance to support team operations when necessary.

This role is fixed-term maternity cover until 06/11/25 or the earlier return of the post-holder.

What will you be doing?

  • Support and coordinate the purchasing of software and more complex or ad-hoc hardware requests up to an approved level of expenditure to meet the various needs of the University.
  • Utilise knowledge of hardware and its components to effectively interpret the University’s requirements and procure appropriate equipment, including specialised equipment to cater to the needs of the research community.
  • Arrange significant and large-scale equipment procurements, such as device refreshes or start-of-term orders, each with unique requirements, and coordinate activities to ensure the delivery of high-quality service that meets required timelines.
  • Facilitate the University's mobile device provision by handling billing, mobile charging, recharging, and distribution of SIM cards.
  • Support the Logistics Administrators by helping to resolve escalations and sharing knowledge and experience to build capability within the team.
  • Coordinate and track assets through the end-to-end lifecycle, including their warranties and maintenance schedules.
  • Coordinate the logistics of IT equipment, including shipping, receiving, and tracking, liaising with external vendors and suppliers and ensuring that financial records are updated to support internal journaling and distributions invoices.
  • Support periodic audits to ensure compliance with inventory management policies, reporting on hardware inventory levels and recommending replenishments.
  • Respond to enquiries from external suppliers and other colleagues within IT Services, using initiative to resolve issues or escalate them as appropriate.
  • Assist with maintaining documentation, procedures and processes and highlight any opportunities for improvement.
  • Identify opportunities for continuing personal development, proactively remaining up to date with the latest advancements in digital technology and industry best practices.
